Tour Participation Notes
To best protect your interests, please carefully read this company's "Registration Notice and Responsibility Details." The "Registration Notice and Responsibility Details" of this company are important matters notified to outbound travel group members and, together with this company's "Overseas Travel Safety Notice and Other Precautions," form part of the travel contract. Our company reserves all rights of interpretation of the content of this website.
(1) Registration Procedures and Notes
By registering through this website, please carefully read in advance all terms published on our company webpage, in the order confirmation and in the group departure notice. Once you submit your order, our company will consider that you have confirmed and fully agreed to the terms we have published. If group members violate the rules already mentioned in the terms, all consequences arising therefrom shall be borne by the group members themselves.
1. When registering, please first fill in the booking form on the website. Carefully enter and verify all information, including name, gender, ID number, contact details, required room type, and pick-up/drop-off points. The company is not responsible for any losses caused by incorrect information entered by the individual. After successful submission, the company will send you an order confirmation. Since tour bus seats are limited, the company will give priority to boarding based on payment receipt. The company will ultimately arrange vehicles based on group size to ensure one seat per person. After verifying the information, please complete payment within the valid order period. Those who fail to pay the full tour fee by the deadline will be automatically treated as withdrawn from the group, and the company reserves the right to cancel your order without further notice.
2. Group members must ensure that, once the group departure is confirmed, they pay 100% of the group fee within the order reservation period. Because tour bus seats and hotel room allocations are limited, and hotel bookings often have time limits, members who register within five working days before departure should promptly complete payment. Otherwise, VIAJES FH reserves the right to retain or cancel such orders depending on the specific circumstances without prior consent from the registrant. Any handling fees incurred regardless of the payment method are borne by the payer. After payment, please send the payment proof (the transaction slip for bank counter remittances, or a screenshot of the successful online transfer confirmation) to our company by email or fax, and be sure to include the corresponding order number in the proof; otherwise, finance cannot match the received funds to the order. If the group fee has still not arrived 2 days before the group ends due to late payment, VIAJES FH has the right to require the group member to deposit the corresponding group fee in cash with the tour guide on duty; if it is later verified that payment was made twice, our company will immediately refund the overpaid amount.
3. After our company confirms receipt of the group member's payment, we will confirm the member's participation in the tour. Three days before departure, group members will receive a departure notice at the email address provided during registration, containing information such as the tour guide, itinerary, and pick-up and drop-off points for reference. Due to network delays or spam filters, group members may not receive the departure notice three days before departure. If this happens, please proactively contact the relevant staff for assistance.
4. Our company by default pairs guests of the same gender as roommates. When arranging hotel room types according to the requirements provided by group members at registration, if there are single or odd-numbered guests (e.g., 3, 5, 7 people), our company will arrange shared rooms based on the actual situation. If you do not agree to the roommate arrangement, you may choose to pay the additional single room supplement. In special circumstances, such as during peak tourist season when some hotels have insufficient rooms or other uncontrollable reasons, room types may change, and group members must cooperate with our arrangements. If on-site room arrangements do not meet a traveler's requirements due to incorrect gender or room type information entered at registration, our agency will coordinate and arrange based on room availability on the day of check-in, and any additional costs incurred shall be borne by the group member.
Note: Travelers who do not know each other and share a room are arranged by this company, but the personal conduct and behavior of fellow travelers are unrelated to this company. For any habit differences or disputes, this company and the tour guide have no responsibility to mediate or intervene.
5. If a group member needs to leave the group midway due to special circumstances, they must proactively request this at the time of registration/before joining the group and sign a "Mid-Tour Departure Statement." For early departure, a deduction of 30 euros will be made for each night not stayed (or 50 euros per night for those registered for a single room throughout the tour). If no hotel nights are reduced, no fee reduction will apply. If a group member requests to leave midway during the tour, they must proactively inform the tour guide and sign the "Mid-Tour Departure Statement," and the fees paid will not be refunded. Group members must provide truthful information regarding their health, identity and other aspects during registration and the itinerary, fill in relevant information honestly, and complete legal procedures. Costs and losses arising from personal reasons such as physical discomfort during the trip shall be borne by the group member themselves. Travelers with special medical history (for example, those with serious illness, terminal illness or infectious diseases) must disclose this truthfully at the time of registration. Given travelers' health conditions or other reasons, our company reserves the right to decide whether to accept them.
6. Travelers aged 70 and over must be accompanied by a family member when registering for the tour and must complete a Group Participation Declaration; if they insist on registering without a family member, our company has the right to refuse acceptance depending on the circumstances. All consequences caused by a group member's own reasons during the trip shall be borne by that member.
7. If a participant is pregnant, this must be truthfully declared at the time of registration. Where the pregnancy exceeds 24 weeks, joining the tour is in principle not recommended; if the participant insists on registering, one family member must accompany them and sign a Disclaimer, although our company reserves the right to refuse acceptance depending on the circumstances. Where the pregnancy is less than 24 weeks but the participant still insists on registering, one family member must accompany them and sign a Tour Participation Statement, although our company reserves the right to refuse acceptance depending on the circumstances. All consequences caused by individual reasons of group members during the trip shall be borne by the group members themselves.
8. Minors joining the tour must be accompanied by at least one adult who assumes guardianship responsibility and is responsible for the minor's safety. Any consequences arising from the minor's own reasons or the accompanying person's negligence in supervision during the trip shall be borne by the group member.
9. Group members must confirm that all group participation information provided is accurate and correct. Personal identity document information and contact phone numbers are especially important. Any consequences arising from incorrect information provided by group members (for example, being unable to cross the border due to an expired personal identity document or a visa type that does not meet the entry tourism regulations of the relevant country, or group members providing an incorrect mobile phone number so that the tour guide and other relevant staff cannot contact them) shall be borne by the group member, including personal return costs, transportation fees, travel expenses, and other losses arising therefrom.
10. Travelers are kindly requested not to book any flights or train/bus tickets related to the itinerary before the order confirmation of group participation. If a traveler books flights or tickets related to the itinerary on their own initiative but the registration is ultimately unsuccessful, all losses shall be borne by the registrant.
11. Under any of the following circumstances, the travel agency may terminate the contract (unless otherwise provided by relevant laws and administrative regulations): (1) suffering from an infectious disease or other illness that may endanger the health and safety of other travelers; (2) carrying items that endanger public safety and refusing to hand them over to the relevant authorities; (3) engaging in illegal activities or activities that violate public morals; (4) engaging in activities that seriously affect the rights and interests of other parties and refusing to stop after being persuaded; (5) other circumstances affecting contract performance as stipulated by law. When the travel agency terminates the contract due to the above circumstances, it shall notify the traveler in writing or by other means, and after deducting necessary expenses as appropriate, refund the remaining balance to the traveler.

Group members should respect the dignity of tourism service personnel, and show mutual respect and assistance among fellow group members; respect local ethnic customs, habits, and local conditions; strictly refrain from carving or scribbling on scenery and buildings, and from uncivilized behavior such as spitting or littering.
4. Make efforts to learn the knowledge needed for travel and improve your self-protection awareness. We recommend that group members choose and purchase travel personal accident insurance and other insurance on their own. During the trip, please properly keep your luggage and belongings; valuables should be carried with you or protected by other measures. Unless a group member makes a specific request, the travel agency assumes that group members have purchased overseas travel insurance on their own and is not responsible for consequences arising from a customer's failure to purchase insurance. (Note: The insurance mentioned here refers only to overseas travel insurance. Transportation and leisure activities include the corresponding insurance required by local law, which is not part of the overseas travel insurance.)
5. Please pay attention to local weather conditions and child safety when traveling.
6. When group members voluntarily participate in dangerous tourism items included in a regular tour itinerary, including rock climbing, mountaineering, rafting, diving, bungee jumping and other activities that may cause personal injury, any resulting disputes, property losses or personal injuries shall be borne by the member personally, and our company bears no responsibility.
(4) Responsibilities
1. The company reserves the right to change accommodation locations, travel routes, sightseeing order, attractions visited, and departure dates as circumstances require.
2. In the event of insufficient participants, or changes beyond our control such as vessel or aircraft problems, our company reserves the right to modify or cancel the itinerary. If the itinerary is cancelled, our company will fully refund the fees paid by group members or recommend a similar alternative product. Our company bears no responsibility for cancelling any itinerary.
3. In the event of social unrest, terrorist activities, major infectious disease outbreaks, natural disasters, acts of God, riots, murder, civil disturbances, war, or other catastrophic incidents beyond the Company's control that may seriously endanger the safety of group members, as well as weather, traffic, strikes, or other unexpected circumstances, the Company has the right to cancel or replace any tour item before departure or after departure, and also the right to shorten or extend the itinerary, but group members must be notified in advance. The Company is not responsible for any additional expenses or losses incurred as a result, and group members may not object or withdraw on such grounds.
4. Since public security conditions vary from country to country, group members should pay attention to personal and traffic safety, and properly keep their belongings and luggage. If any loss, theft, robbery or damage occurs during the trip, please notify the tour leader promptly and report to the police immediately. Our company assumes no legal liability.
5. Group members must carry valid passports with visa pages, residence permits and other required documents. Any mid-trip withdrawal caused by document or passport problems shall be borne by the participant, and the remaining tour fees will not be refunded. If this affects the normal itinerary of other group members, the member shall bear the corresponding compensation liability.
6. If a group member encounters an accident during the itinerary (such as an accident during recreational or game activities, or illness, death, falls or fractures resulting from personal activities, or a member violating the terms and notices stated in our company's agreement), resulting in personal injury, death or property loss, the relevant liability and expenses shall be borne by the member themselves; our company assumes no responsibility for such injuries, deaths or property losses; if this causes losses to our company, the member shall bear the compensation liability.
7. If a group member deliberately fails to comply with the rules or interferes with the normal activities and interests of the group, the company's tour leader has the right to cancel the member's participation qualification, and the fees paid will not be refunded. The company is not responsible for any actions of the member after leaving the group.
8. The times marked in the itinerary are for reference only. Actual arrival times may be delayed due to force majeure factors such as weather, traffic jams, traffic accidents, festivals and events, riots or strikes. We appreciate your understanding. If group members need to take other means of transportation to other cities as part of their follow-up itinerary, we strongly recommend reserving at least 3 hours of spare time to avoid inconvenience caused by itinerary delays. The company is not responsible for any losses in self-arranged itineraries resulting from members failing to reserve sufficient spare time.
(5) Overseas Travel Safety Guidelines and Other Notes
I. Friendly Reminders
1. Some attractions in Europe offer student discounts; students are advised to bring their student cards.
2. Plug standards differ across European countries (for example, the plugs used in Italy and Switzerland differ from those used in Germany). If needed, please bring your own plug adapters.
3. For safety reasons, European coach companies require that children must occupy a seat regardless of age. Since most tour buses do not provide separate child safety seats, parents traveling with children under 3 years old may bring their own. However, each child safety seat may only occupy one bus seat, and therefore it cannot be guaranteed that all self-provided safety seats will be suitable for tour buses. Please take note.
II. Safety Notice
Clothing
1. Weather in Europe is changeable; be sure to carry rain gear and a warm jacket with you.
2. Please keep your belongings and luggage safe. Our company assumes no responsibility for loss, theft, or other incidents.
3. Clearly write your name and contact information on your luggage for identification, and to facilitate return if the luggage is found after being lost. If luggage is lost, notify the relevant institutions (such as hotels, airlines, etc.) and the police as soon as possible. If it cannot ultimately be recovered, you must keep the police report to claim compensation from the relevant institutions or insurance company (if insurance was purchased).
Food
1. Hotel breakfast: In Europe, breakfast is usually simple. Hotel breakfasts typically consist only of bread, coffee, tea, juice, etc. All hotels arranged by our company include a buffet breakfast;
2. Bring bottled water and dry snacks for emergencies, especially for elderly travelers and children.
3. Do not drink unclean water, and do not eat food that is unsanitary, has an unusual smell, or has spoiled.
4. Do not accept or consume cigarettes, food, or drinks offered by strangers.
5. To prevent discomfort from changes in water and climate during the trip, bring commonly used or habitual medications. Long-term patients should carry medical records for emergencies. Never casually take medications provided by others.
6. Our company does not provide or arrange alcoholic beverages. Group members who enjoy drinking should strictly control their alcohol consumption during the trip. Any responsibility arising from drunken disorderly conduct, disturbing public order, infringing on others, or causing financial losses to third parties shall be borne by the offender personally.
Stay
1. Hotel facilities:
① European cities are smaller, and there are very few downtown hotels, which are not large in scale and have relatively old facilities, not comparable to similar hotels in China.
② European hotels do not provide toothbrushes, toothpaste, or slippers; please prepare your daily necessities.
③ Please check whether the amenities provided by the hotel are complete and undamaged. If anything is missing or damaged, please report it immediately to hotel staff or your tour guide.
④Due to various reasons such as environmental protection, long history, and the cooler climate in Europe, many hotels do not have air conditioning equipment.
⑤Hotels in Italy are relatively old in construction. Blankets are generally placed in the cabinet in the room. If there are none, please contact the front desk to request more.
⑥If needed, guests should bring their own small travel hair dryer.
⑦German-style double rooms usually have one large bed with two bed sets, so regardless of whether guests request one large bed or two single beds, this bed configuration is common in most parts of Europe.
2. Hotel meals:
① Hotel rooms in Europe do not provide hot drinking water.
② Please cherish food, do not waste it, and do not take it away.
③ Since breakfast hours differ among European hotels, please be sure to go to the restaurant early according to the time announced by the hotel, to avoid arriving late for personal reasons and finding insufficient food available.
④There is a certain gap between the hotel dining and that in China. Breakfast is relatively simple (German breakfast is more substantial, while Italian breakfast is the simplest, consisting only of bread and coffee), and lunch and dinner are not very abundant either. There is a considerable gap in quantity and quality compared with domestic standards.
3. Hotel check-in safety reminders:
① Please keep valuables safe yourself and do not leave them in the hotel room. Avoid carrying large amounts of cash, expensive watches or jewelry, properly safeguard your travel documents and belongings, and carry a set of photocopies of your travel documents and credit cards to serve as proof for reissuance in case of loss. The company is not liable for loss or theft. ② Please do not smoke in the hotel room; any hotel fines incurred as a result will be paid by the person responsible.
③ After checking into the hotel, you should familiarize yourself with the hotel's safety instructions, check whether the room windows can be opened, locate the fire-fighting equipment, and become familiar with the hotel's emergency exits, the locations of safety staircases, and evacuation routes.
④ Do not tell strangers where you are staying or which room you are in, and do not let strangers or people claiming to be hotel maintenance staff enter your room at will. Always lock your room door when entering or leaving, check before sleeping that the door and windows are closed and the deadbolt is engaged, and keep valuables close to you rather than near windows or other exposed places.
⑤When group members need to go out after checking into the hotel, they should inform the tour guide. Please collect a hotel business card from the hotel front desk, which shows the hotel address and phone number. If you get lost, you can show the address on the card to seek help.
Line
1. Boarding and alighting:
① Tour group members must gather on time and depart on time. Please arrive at the boarding point 15 minutes early. Our tour bus will not wait. Those who fail to gather and depart at the agreed time and place, or who fail to join midway, will be deemed to have voluntarily given up, and no refund will be given.
② The pick-up and drop-off times stated on the webpage are estimated times. The specific pick-up and drop-off locations are subject to confirmation by our company (if traffic conditions or other special circumstances prevent our coach from arriving at the pick-up location on time, or if the time or location changes temporarily, our company will notify you promptly; please be patient).
③ Coaches come in three types: full-size coaches, midi coaches, and 9-seat minibuses. Full-size coaches generally have a dedicated luggage compartment, while midi coaches and 9-seat minibuses have relatively limited luggage space. Due to the limited luggage space on buses, we recommend bringing as little luggage as possible when traveling. Our company will arrange vehicles according to the final group size, ensuring one seat per person.
④ To avoid overcrowding at attractions, bus parking areas in most European cities are located far from the sights, and drivers are not allowed to stop wherever they like; violators face heavy fines. Sometimes the pick-up and drop-off points are some distance from the attractions. We kindly ask all group members for their understanding.
2. Safety reminders for bus travel:
① Smoking is prohibited inside the vehicle.
② Please do not carry prohibited items.
③ Do not tamper with any items in the vehicle at will, so as to avoid unnecessary damage.
④ During temporary bus stops, follow your tour guide's arrangements and do not wander far away.
⑤When group members get off the bus to sightsee, dine, or shop, please be sure to close the tour bus windows and carry your valuables with you. In case of loss or theft, the travel agency assumes no responsibility.
⑥Due to the long travel time and heavy vehicle load along the way, if a vehicle breaks down and affects the itinerary, the travel agency will promptly take remedial measures. Group members are kindly requested to cooperate actively.
III. Other Notes and Precautions
1. Please comply with local laws and regulations.
2. Be sure to carry your relevant identification documents and a valid passport at all times.
3. When participating in group activities, you should follow the instructions of the tour leader/guide and avoid leaving the group for safety reasons.
4. Before participating in any high-risk activities, you must assess your personal health condition and abilities, and comply with the safety guidelines for the relevant activities, such as wearing life jackets, fastening seat belts, and wearing suitable or designated clothing. Group members are advised to avoid participating in these activities during free time on the tour. If a group member insists on participating, they must bear the risks themselves.
5. Do not participate in entertainment activities suspected of being illegal.
6. Please pay attention to and heed all warnings, such as not wandering around or feeding animals at will inside wildlife parks, etc.
7. When touring in areas with poor public security, be especially vigilant and avoid going out alone.
