Group Participation Notes
To best safeguard your interests, please carefully read our company's Registration Notice and Liability Terms. These are important matters notified to outbound travel group members and, together with our company's Overseas Travel Safety Notice and Other Precautions, form part of the travel contract. Our company reserves all rights of interpretation regarding the content of this website.
(1) Registration Procedures and Notes
By registering through this website, please carefully read all terms published on our company web pages as well as in the order confirmation and departure notice in advance. Once you submit your order, our company will consider that you have confirmed and fully agreed to the terms we have published. If any group member violates the rules mentioned in the terms, all consequences arising therefrom shall be borne by that group member.
1. When registering, please first fill in the registration order on the webpage. Carefully fill in and verify all information entered, including name, gender, ID number, contact information, required room type, and boarding/alighting points. The company is not responsible for any losses caused by incorrectly entered registration information. After successful submission, the company will send you an order confirmation. Since tour bus seats are limited, the company will prioritize boarding based on payment receipt. Ultimately, our company will arrange vehicles based on group size, ensuring one seat per person. Please arrange payment within the valid order period after verifying the information. Those who fail to pay the full tour fee by the deadline will be automatically treated as withdrawn from the group, and our company has the right to cancel your order without further notice.
2. Group members must, provided the group departure is confirmed, pay 100% of the tour fee within the order retention period. Because tour bus seats and hotel room allocations are limited and hotel bookings often have time restrictions, members who register within five working days before departure must complete payment promptly; otherwise, the agency has the right to retain or cancel such orders as appropriate without prior consent from the registrant. Regardless of the payment method, any handling fees incurred are borne by the payer. After payment, please send proof of payment (bank counter remittance slip or screenshot of the successful online transfer confirmation) to our company by email or fax, and be sure to note the corresponding order number on the proof; otherwise, finance cannot match the received funds to the order. If, due to late payment, the tour fee has not arrived 2 days before the group ends, the agency has the right to require the member to deposit the corresponding tour fee in cash with the tour guide; if it is later verified as a duplicate payment, our company will immediately refund the excess amount.
3. After our company confirms receipt of the group member's payment, we will confirm the member's participation in the tour. Three days before departure, group members will receive a departure notice at the email address provided during registration, containing information such as the guide, itinerary, and pick-up/drop-off points for reference. Due to network delays or spam filters, group members may not receive the departure notice three days before departure. If this happens, please contact the relevant staff proactively for assistance.
4. Our company defaults to same-sex roommate matching. When arranging hotel room types according to the requirements submitted by group members at registration, if there are solo or odd-numbered guests (such as 3, 5, 7 people, etc.), our company will match roommates according to the actual situation. If you do not accept the roommate arrangement, you may choose to pay the additional single room supplement. In special circumstances, such as during peak tourist seasons when some hotels have insufficient rooms or other uncontrollable reasons, room types may change, and group members must cooperate with our arrangements. If on-site room arrangements do not meet the travelers' requirements due to incorrect gender or room type information entered at registration, our agency will coordinate and arrange based on room availability on the day of hotel check-in, and any additional costs incurred shall be borne by the group member.
Note: Travelers who do not know each other and share a room are arranged by this company, but the personality and behavior of group members are unrelated to this company. For any differences in habits or disputes, this company and the tour guide have no responsibility to mediate or intervene.
5. If a group member needs to leave the tour midway due to special circumstances, they must notify us proactively at the time of registration/before joining the tour and sign a "Mid-Tour Withdrawal Declaration." For early departure, a deduction of 30 euros will be made for each night of accommodation not used (or 50 euros per night for those who registered for the full tour in a single room). If no accommodation is cancelled, no tour fee reduction will apply. If a group member requests to withdraw midway through the tour, they must inform the tour guide proactively and sign the "Mid-Tour Withdrawal Declaration," and the fees paid will not be refunded. Group members must provide truthful information regarding their health, identity and other matters during registration and the itinerary, fill in relevant information accurately, and complete legal procedures. Expenses and losses arising from personal reasons such as physical discomfort during the journey shall be borne by the group member. Tourists with special medical histories (for example, those with serious illness, terminal illness or infectious diseases) must disclose this truthfully at registration. Given the tourist's health condition or other reasons, our company reserves the right to decide whether to accept the booking.
6. Elderly persons over 70 years old must be accompanied by a family member when signing up for the tour and must complete the "Tour Participation Declaration". If an elderly person without a family member insists on signing up, our company reserves the right to refuse acceptance depending on the circumstances. All consequences arising from a group member's own reasons during the trip shall be borne by the group member.
7. Travelers who are pregnant must disclose this truthfully at the time of registration. In principle, we do not recommend joining the tour if the pregnancy exceeds 24 weeks. Those who insist on joining must be accompanied by a family member and complete a Disclaimer; however, our company reserves the right to refuse acceptance depending on the circumstances. Travelers who are less than 24 weeks pregnant but still insist on joining must be accompanied by a family member and complete a Tour Participation Declaration; however, our company reserves the right to refuse acceptance depending on the circumstances. All consequences arising from individual reasons of group members during the trip shall be borne by the group members themselves.
8. Minors joining the tour must be accompanied by at least one adult who shall fulfill guardianship duties and be responsible for the minor's safety. All consequences arising from the minor's own reasons or the negligence of the accompanying person during the trip shall be borne by the group member.
9. Group members must confirm that all tour registration information provided is accurate and correct, with personal identification information and contact phone numbers being especially important. Any consequences resulting from incorrect information provided by group members (for example, inability to cross the border due to expired personal identification documents or visa types not complying with the entry tourism regulations of relevant countries, or inability of the guide and other related staff to contact the participant due to an incorrect mobile phone number provided by the participant) shall be borne by the participant, including personal return fees, transportation costs, travel expenses and other losses incurred.
10. Travelers must not book any flights or train/bus tickets related to the itinerary on their own before the order is confirmed for the tour. If a traveler independently books flights or tickets related to the itinerary but the registration ultimately fails, all losses shall be borne by the traveler.
11. Under any of the following circumstances, the travel agency may terminate the contract (unless otherwise provided by relevant laws and administrative regulations): (1) suffering from infectious diseases or other conditions that may endanger the health and safety of other travelers; (2) carrying items that endanger public safety and refusing to hand them over to the relevant authorities for handling; (3) engaging in illegal activities or activities that violate public morality; (4) engaging in activities that seriously affect the rights and interests of other parties and refusing to stop after being advised; (5) other circumstances stipulated by law that affect the performance of the contract. If the travel agency terminates the contract due to the above circumstances, it shall notify the traveler in writing or by other means, and may deduct necessary expenses as appropriate before refunding the remaining balance to the traveler.

1) Luxury air-conditioned coach or other transportation specified in the itinerary

(4) Liability
1. The company reserves the right to change accommodation locations, travel routes, sightseeing spots, and departure dates as circumstances require.

3. In the event of social unrest, terrorist activities, major contagious epidemics, natural disasters, acts of God, riots, murder, civil disturbances, war, or other catastrophic incidents beyond the Company's control that may seriously endanger the personal safety of group members, as well as weather, transportation, strikes, or other unforeseen circumstances, the Company has the right to cancel or replace any tour item before departure or after departure, and also the right to shorten or extend the itinerary, provided that group members are notified in advance. Any additional expenses or losses arising therefrom are not the Company's responsibility, and group members may not object or withdraw on such grounds.

6. If a group member encounters an accident during the itinerary (such as an accident while participating in recreational or game activities, or illness, death, falls, or injuries resulting from personal activities, or the group member violating the regulations and notices stated in our company's terms) that causes personal injury or death or property loss, the relevant liabilities and expenses shall be borne by the group member themselves; our company shall not be responsible for such injuries, deaths, or property losses; if this causes losses to our company, the group member shall bear the compensation liability.

(5) Safety Notes for Overseas Travel and Other Matters Requiring Attention
I. Warm Reminders
1. Some attractions in Europe offer student discounts; students are advised to bring their student cards.
2. European countries use different plug standards (for example, the plugs used in Italy and Switzerland differ from those used in Germany). If needed, please bring your own suitable plug adapters.
3. For safety reasons, European coach companies require that children, regardless of age, must occupy a seat. Since most tour buses do not provide separate child safety seats, parents bringing children under 3 years old on the tour may prepare their own, but each child safety seat may occupy only one bus seat. Therefore, the suitability of all self-provided safety seats for tour buses cannot be guaranteed. Please take note.
II. Safety Notes
Clothing
1. The weather in Europe is changeable; please be sure to carry rain gear and a thicker jacket with you.
2. Please keep your belongings and luggage safe. VIAJES FH is not responsible for any loss or theft.
3. Clearly write your name and contact method on your luggage for identification, so that it can be returned easily if the lost luggage is found. If luggage is lost, notify the relevant institutions (such as hotels, airlines, etc.) as soon as possible and report to the police. If it cannot be recovered in the end, keep the police report to claim compensation from the relevant institutions or insurance company (if insurance was purchased).
Food
1. Hotel breakfast: Breakfast in Europe is usually simple. Hotel-provided breakfast generally includes only bread, coffee, tea, juice, etc. All hotels arranged by our company include a buffet breakfast;
2. Bring bottled water, dry snacks and other food with you for emergencies, especially for elderly people and children.
3. Do not drink unclean water, and do not eat unsanitary food or food that smells or has gone bad.
4. Do not accept or consume cigarettes, food or drinks offered by strangers.
5. To prevent discomfort from changes in climate and water during travel, bring commonly used or habitual medication. Long-term patients should carry medical records in case of need. Never take medicine provided by others at random.
6. Our agency does not provide or arrange alcoholic drinks. Group members who like to drink alcohol should strictly control their alcohol consumption during the trip. Any responsibility for drunken brawls, disruption of social order, infringement on others, or causing financial losses to third parties shall be borne by the person responsible.
Accommodation
1. Hotel facilities:
① European cities are relatively small, the number of hotels in city centers is extremely limited, and the hotels are small in scale with relatively old facilities, not comparable to similar hotels in China.
② European hotels do not provide toothbrushes, toothpaste, or slippers. Please bring your daily necessities.
③ Please check whether the supplies provided by the hotel are complete and undamaged. If anything is missing or damaged, please report it immediately to the hotel staff or your tour guide.
④Due to various reasons such as environmental protection, long history, and Europe's relatively cool climate, many hotels do not have air conditioning.
⑤Italian hotels are relatively old in construction. Blankets are generally placed in the room's wardrobe. If there are none, please contact the front desk to request one.
⑥Guests who need one should bring their own small travel hair dryer.
⑦German double beds usually consist of one large bed with two bed sets. Regardless of whether guests request one large bed or two single beds, this bed configuration is also common in most parts of Europe.
2. Hotel dining:
① European hotel rooms do not provide hot drinking water.
② Please cherish food, do not waste it, and do not take it away.
③ Because breakfast times differ among hotels in Europe, please be sure to arrive at the restaurant early according to the time announced by the hotel, so as to avoid arriving late for personal reasons and finding insufficient food available.
④Hotel dining differs somewhat from China. Breakfast is relatively simple (German breakfasts are more substantial, while Italian breakfast is the simplest, consisting only of bread and coffee), and lunch and dinner are also not very lavish. There is a considerable gap in quantity and quality compared with domestic standards.
3. Hotel check-in safety tips:
① Please keep your valuables safely with you and do not leave them in the hotel room. Avoid carrying large amounts of cash, expensive watches, or jewelry. Keep your travel documents and belongings safe, and carry a set of photocopies of your travel documents and credit cards to serve as proof for replacement in case of loss. This company is not responsible for any loss or theft. ② Please do not smoke in the hotel room. Fines imposed by the hotel as a result will be paid by the person responsible.
③ After checking into the hotel, you should familiarize yourself with the hotel's safety guidelines, check whether the room windows can be opened, locate the fire-fighting equipment, and become familiar with the hotel's emergency exits, the locations of safety staircases, and evacuation routes.
④ Do not tell strangers which hotel or room you are staying in, and do not let strangers or people claiming to be hotel maintenance staff enter your room at will. When leaving the room, lock the door securely. Before sleeping, check that the door and windows are closed and that the deadbolt is locked. It is best to keep valuables with you and not leave them near windows or in other exposed places.
⑤When group members need to go out while staying at the hotel, they should inform the tour guide. Please pick up a hotel business card at the hotel front desk, which shows the hotel address and phone number. If you get lost, you can show the address on the card to ask for help.
Itinerary
1. Boarding and alighting:
① All group members must gather and depart on time. Please arrive at the boarding point 15 minutes in advance. Our tour bus will not wait. Those who fail to gather at the agreed time and location, or who fail to join midway, will be deemed to have voluntarily waived the trip, and no refund will be given.
② The boarding and alighting times stated on the webpage are estimated times. The specific boarding and alighting locations are subject to confirmation by this company. (If traffic conditions or other special circumstances prevent our bus from arriving at the boarding point on time, or if the time changes temporarily, this company will notify you promptly. Please be patient and wait.)
③ Coaches come in three types: full-size coaches, midi-coaches, and 9-seat minibuses. Full-size coaches generally have a dedicated luggage compartment, while midi-coaches and 9-seat minibuses have relatively less luggage space. Given the limited luggage space on buses, we recommend bringing as little luggage as possible when traveling. Our company will arrange vehicles according to the final group size, ensuring one seat per person.
④ To avoid overcrowding at attractions, in most European cities coach parking areas are located far from the sights, and drivers are not permitted to stop wherever they like. Violators face heavy fines. Sometimes the boarding and alighting points may be some distance from the attractions. We kindly ask all group members for their understanding.
2. Safety tips for coach travel:
① Smoking is prohibited inside the vehicle.
② Please do not carry prohibited items.
③ Do not tamper with any items in the vehicle at will, so as to avoid unnecessary damage.
④ During temporary coach stops, follow your tour guide's arrangements and do not wander far away.
⑤When group members get off the bus to sightsight, dine, or shop, please make sure to close the tour bus windows and carry your valuables with you. VIAJES FH is not responsible for any loss or theft.
⑥Because the journey is very long and the vehicles are heavily loaded along the way, if a vehicle breaks down and affects the itinerary, VIAJES FH will take remedial measures promptly. Please cooperate actively with the group.
III. Other Notes and Precautions
1. Please abide by the laws and regulations of each locality.
2. Please be sure to carry your relevant identification documents and a valid passport at all times.
3. When participating in group activities, follow the instructions of the tour leader/guide and avoid leaving the group for safety.
4. Before participating in any high-risk activities, you must assess your personal health condition and abilities, and comply with the relevant safety guidelines for the activity, such as wearing life jackets, fastening safety belts, and wearing appropriate or designated clothing. Group members are kindly requested to avoid participating in these activities during free time on the tour; if members insist on participating, they shall bear the risks themselves.
5. Do not take part in entertainment activities suspected of being illegal.
6. Please pay attention to and heed all warnings, such as not wandering around or feeding animals at will in wildlife parks.
7. When visiting areas with poor public security, extra caution must be exercised, and traveling alone should be avoided.
