Tour Notes
To best protect your interests, please carefully read our company's "Registration Notice and Liability Terms." The "Registration Notice and Liability Terms" are important matters notified by our company to outbound tour group members and, together with our company's "Overseas Travel Safety Notice and Other Precautions," form part of the travel contract. Our company reserves the right of final interpretation of the content of this website.
(1) Registration Process and Notes
By registering through this website, please carefully read all terms published on our company website, the order confirmation, and the departure notice in advance. Once you submit your order, our company will consider that you have confirmed and fully agreed to the terms published by our company. If any group member violates the rules mentioned in the terms, all consequences arising therefrom shall be borne by the group member.
1. When registering, please first complete the booking order on the webpage. Carefully fill in and verify all information, including name, gender, ID number, contact details, required room type, and pick-up/drop-off points. Our company is not responsible for any losses arising from incorrect information entered by the individual. After successful submission, our company will send you an order confirmation. Since tour bus seats are limited, our company will prioritize boarding arrangements based on payment receipt. Ultimately, our company will arrange vehicles according to group size to ensure one seat per person. Once verified, please complete payment within the valid order period. Those who fail to pay the full tour fee by the deadline will be automatically treated as withdrawn from the group, and our company has the right to cancel your order without further notice.
2. Group members must ensure that, provided the group departure is confirmed, the full 100% of the tour fee is paid within the order retention period. Because tour bus seats and hotel room allocations are limited, and hotel bookings often have time limits, members who register within five working days before departure must proactively and promptly complete payment; otherwise, VIAJES FH reserves the right to retain or cancel such orders depending on the specific circumstances without obtaining prior consent from the registrant. Regardless of the payment method, any handling fees incurred are borne by the payer. After payment, please send the payment proof (the bank counter transfer slip or a screenshot of the successful online transfer confirmation) to our company by email or fax, and be sure to note the corresponding order number on the proof; otherwise, our finance department cannot match the received funds to the order. If the tour fee has still not arrived 2 days before the group tour ends due to late payment, our company has the right to require members to deposit the corresponding tour fee in cash with the tour guide on duty; if it is later verified as a double payment, our company will immediately refund the excess amount.
3. After the Company confirms receipt of the travelers' payment, we will confirm their participation in the tour. Three days before departure, travelers will receive a pre-departure notice at the email address provided during registration, containing information such as the guide, itinerary, and pick-up/drop-off points for reference. Due to network delays or spam filtering, travelers may not receive the notice three days before departure; if this occurs, please contact the relevant staff proactively for assistance.
4. Our company defaults to same-gender room sharing. When arranging hotel rooms according to the requirements submitted by group members, if there are single or odd-numbered registrations (such as 3, 5, or 7 people), our company will arrange shared rooms according to the actual situation. If a guest does not accept the room-sharing arrangement, they may choose to pay the additional single-room supplement. In special circumstances, such as insufficient rooms at certain hotels during peak travel season or other uncontrollable reasons, room type changes may occur, and group members must cooperate with our company's arrangements. If on-site room arrangements do not meet a traveler's requirements due to errors in gender or room type entered at registration, our company will coordinate and arrange according to the availability of rooms on the day of hotel check-in, and any additional costs incurred will be borne by the group member.
Note: Guests who do not know each other and are paired to share a room are arranged by our company, but the personalities and behavior of group members are unrelated to our company. Our company and the guide have no responsibility to mediate or intervene in any habit differences or disputes.
5. If a group member needs to leave the group midway due to special circumstances, they must notify us proactively at the time of registration/before joining the group and sign a "Mid-Trip Departure Statement." For early departure, a reduction of 30 euros will be made for each night not stayed (or 50 euros per night for those who registered for a single room throughout). If no hotel nights are skipped, no fee reduction will apply. If a group member requests to leave the group midway through the trip, they must inform the tour guide proactively and sign the "Mid-Trip Departure Statement"; fees paid will not be refunded. Group members must provide truthful information regarding their health, identity, and other matters during registration and the itinerary, fill in relevant information accurately, and complete the legal procedures. Expenses and losses arising from personal reasons such as physical discomfort during the journey shall be borne by the group member themselves. Tourists with special medical histories (such as those with serious illnesses, terminal illnesses, or infectious diseases) must disclose this truthfully at registration. Given tourists' health conditions or other reasons, our company reserves the right to decide whether to accept them.
6. Elderly travelers aged 70 and above who sign up for the tour must be accompanied by a family member and complete the Tour Participation Declaration. If an elderly traveler has no family member accompanying them but insists on signing up, our company reserves the right to refuse acceptance depending on the circumstances. All consequences arising from the traveler's own reasons during the trip shall be borne by the traveler.
7. Travelers who are pregnant must disclose this truthfully at the time of registration. In principle, pregnant travelers more than 24 weeks along are not recommended to join the tour. Those who insist on registering must be accompanied by a family member and complete a Disclaimer; however, our company reserves the right to refuse acceptance depending on the circumstances. Travelers who are less than 24 weeks pregnant but insist on registering must be accompanied by a family member and complete a Tour Participation Statement; however, our company reserves the right to refuse acceptance depending on the circumstances. All consequences caused by individual reasons of group members during the trip shall be borne by the group members themselves.
8. Minors joining the tour must be accompanied by at least one adult who fulfills guardianship duties and is responsible for the minor's safety. All consequences caused by the minor's own reasons or the accompanying person's negligence in supervision during the trip shall be borne by the group member.
9. Group members must confirm that all participation information provided is accurate and complete, with personal ID information and contact phone number being especially important. For any consequences arising from incorrect information provided by group members (for example: inability to cross borders due to an expired personal ID, or a visa type that does not meet the entry tourism regulations of the relevant country; or the tour guide and other relevant staff being unable to contact the participant because the mobile phone number provided by the participant was wrong), the participant shall bear personally any resulting losses, including return costs, transportation fees, and travel expenses.
10. Registrants must not book any flights or train/bus tickets associated with the registered itinerary on their own before the order is confirmed and the group participation is approved. If a group member books flights or transport tickets related to the itinerary on their own initiative and the registration ultimately fails, all losses shall be borne by the registrant.
11. The travel agency may terminate the contract if a group member falls under any of the following circumstances (unless otherwise provided by relevant laws and administrative regulations): (1) suffering from an infectious disease or other illness that may endanger the health and safety of other group members; (2) carrying items that endanger public safety and refusing to hand them over to the relevant authorities for handling; (3) engaging in illegal activities or activities that violate public morality; (4) engaging in activities that seriously affect the rights and interests of other members of the group and refusing to stop after being advised; (5) other circumstances affecting contract performance as stipulated by law. 1. The weather in Europe is changeable; please be sure to carry rain gear and a fairly thick jacket.
2. Please keep your belongings and luggage safe. VIAJES FH is not responsible for loss or theft.
3. Clearly write your name and contact information on your luggage for identification, so that it can be returned easily if found. If luggage is lost, promptly notify the relevant organizations (such as hotels, airlines, etc.) and report to the police. If it cannot ultimately be recovered, keep the police report to claim from the relevant organizations or insurance company (if insurance was purchased).
Dining
1. Hotel breakfast: In Europe, a simple breakfast is customary. Hotel breakfasts usually consist only of bread, coffee, tea, juice, etc. All hotels arranged by our company include a buffet breakfast;
2. Bring water, dry food and other snacks for emergencies, especially for the elderly and children.
3. Do not drink unclean water, and do not eat food that is unsanitary, has an odd smell, or has spoiled.
4. Do not accept or consume cigarettes, food, or drinks given by strangers.
5. To prevent discomfort caused by changes in water and environment during travel, bring commonly used or habitual medications. Long-term patients should carry their medical records in case of need. Never take medicines provided by others at will.
6. Our agency does not provide or arrange alcohol consumption. Travelers who like to drink should strictly control their alcohol intake during the journey. Any and all responsibility for drunken brawls, disruption of social order, infringement on others, or causing financial losses to third parties shall be borne by the person involved.
Stay
1. Hotel facilities:
① European cities are relatively small, the number of hotels in the city centers is extremely limited, and the hotels are not large. Their facilities are relatively old and do not match the standard of comparable hotels in China.
② Toothbrushes, toothpaste, and slippers are not provided in European hotels. Please bring your own daily necessities.
③ Please check whether the supplies provided by the hotel are complete and undamaged. If anything is missing or damaged, please report it immediately to hotel staff or your tour guide.
④ For various reasons, such as environmental protection, long history, and Europe's relatively cool climate, many hotels have no air-conditioning equipment.
⑤ Italian hotel buildings are relatively old. Blankets are generally kept in a cabinet in the room; if there are none, please contact the front desk to request them.
⑥ If needed, guests should bring their own small travel hair dryer.
⑦German double beds usually consist of one large bed with two bed sets, regardless of whether guests need one large bed or two single beds; this bed type also suits most areas of Europe.
2. Hotel dining:
① Hot drinking water is not provided in hotel rooms in Europe.
② Please cherish food, do not waste it, and do not take it away.
③ Since breakfast hours differ among European hotels, please be sure to go to the restaurant early according to the time announced by the hotel, to avoid arriving late for personal reasons and finding insufficient food available.
④ Hotel dining differs somewhat from China. Breakfast is relatively simple (German breakfasts are richer, while Italian breakfast is the simplest, consisting only of bread and coffee), and lunch and dinner are not particularly lavish. Their quantity and quality differ considerably from domestic standards.
3. Hotel check-in safety reminder:
① Please keep valuables in your own safekeeping and do not leave them in the hotel room. Avoid carrying large amounts of cash, expensive watches or jewelry. Keep your travel documents and belongings safe, and carry one set of photocopies of your travel documents and credit cards so you have proof for replacement in case of loss. This company is not responsible for loss or theft. ② Please do not smoke in hotel rooms. Any hotel fines resulting from this will be paid by the person responsible.
③ After checking into the hotel, please review the hotel's safety instructions, check whether the room windows can be opened, locate the fire extinguishing equipment, and familiarize yourself with the hotel's emergency exits, safety staircases, and evacuation routes.
④ Do not tell strangers where you are staying or your room number, and do not let strangers or people claiming to be hotel maintenance staff enter your room freely. Lock your room door when going in and out, check before sleeping that doors and windows are closed and the deadbolt is locked, and keep valuables close to you rather than near windows or other exposed places.
⑤ When group members need to go out after checking into the hotel, they should inform the tour guide and pick up a hotel business card from the front desk. The card shows the hotel address and phone number, which can be shown to others for help if you get lost.
Walk
1. Boarding and alighting:
① All tour group members must gather and depart on time. Please arrive at the boarding point 15 minutes early. Our tour bus will not wait. Those who fail to gather at the agreed time and place, or who fail to join midway, will be deemed to have voluntarily forfeited the trip, and no refund will be given.
② The boarding and alighting times stated on the webpage are estimated times. The exact pick-up and drop-off locations are subject to confirmation by this company. If traffic or other special circumstances prevent our bus from arriving at the boarding point on time, or if the time or location changes temporarily, this company will notify you promptly. Please be patient and wait.
③ Coaches come in three types: large coaches, medium coaches, and 9-seat minibuses. Large coaches generally have a dedicated luggage compartment, while medium coaches and 9-seat minibuses have relatively smaller luggage space. Given the limited luggage space on buses, we recommend bringing as little luggage as possible when traveling. Our company will arrange vehicles according to the final size of the group, ensuring one seat per person.
④ To avoid overcrowding at attractions, in most European cities coach parking areas are located far from the sights, and drivers are not allowed to stop arbitrarily; violators face heavy fines. Sometimes the boarding and alighting points are some distance from the attractions. We kindly ask all group members for their understanding.
2. Safety tips for riding the coach:
① Smoking is prohibited inside the bus.
② Please do not carry prohibited items.
③ Do not randomly tamper with any items on the bus to avoid unnecessary damage.
④ During temporary stops of the coach, follow the tour guide's arrangements and do not wander far away.
⑤ When group members get off the coach to sightsee, dine, or shop, please make sure the coach windows are closed and carry your valuables with you. The travel agency assumes no responsibility for any loss or theft.
⑥ Because the journey is very long and the vehicles are heavily loaded, if a coach breaks down and affects the itinerary, the travel agency will promptly take remedial measures. Group members are asked to cooperate actively.
III. Other Notices and Precautions
1. Please observe the local laws and regulations.
2. Be sure to carry your relevant documents and a valid passport with you at all times.
3. When participating in group activities, follow the instructions of the tour leader/guide and avoid leaving the group for safety.
4. Before participating in any high-risk activities, you must assess your personal health condition and abilities, and follow the relevant safety guidelines for the activity, such as wearing life jackets, fastening seat belts, and wearing suitable or designated clothing. Group members are kindly requested to avoid participating in these activities during free time on the trip. If a group member insists on participating, they shall assume the risk themselves.
5. Do not participate in entertainment activities suspected of being illegal.
6. Please pay attention to and heed all warnings, such as not wandering around freely or feeding animals inside wildlife parks.
7. When visiting areas with poor public order, be especially vigilant and avoid going out alone.
