Registration Notice and Liability Terms of VIAJES FH
To best protect your interests, please carefully read this company's Registration Notice and Liability Regulations. These Registration Notice and Liability Regulations are important matters notified by our company to outbound tour group members, and together with this company's Overseas Travel Safety Notice and Other Precautions, form part of the travel contract. Our company reserves the right of final interpretation of all content on this website.
(1) Registration Procedures and Important Notes
By registering through this website, please carefully read in advance all the terms published on our company webpage, the order confirmation, and the group departure notice. After you submit your order, our company will consider that you have confirmed and fully agreed to the terms we have published. If any group member violates the rules mentioned in the terms, all resulting consequences shall be borne by that member.
1. When registering, please first complete the registration order on the website. Carefully fill in and verify all information, including name, gender, ID number, contact details, required room type, and boarding/alighting points. The company is not responsible for any losses arising from incorrect registration information entered by the individual. Since tourist bus seats are limited, the company will prioritize boarding arrangements based on payment receipt. After verifying the information, please arrange payment within the valid order period. Those who fail to pay the full group fee by the deadline will be deemed to have automatically withdrawn from the group, and our company has the right to cancel your order without further notice.
2. Travelers must pay 100% of the group fee at least five working days before the departure date. Due to limited tour bus seats and hotel room allocations, and because hotel reservations often have time limits, travelers who register within five working days before departure must proactively complete payment promptly; otherwise, the company reserves the right to hold or cancel such orders depending on the specific circumstances without prior consent from the registrant. Any handling fees incurred regardless of payment method shall be borne by the payer. After payment, please send the payment proof (bank counter remittance transaction slip or screenshot of the successful online transfer confirmation) to our company by email or fax, and be sure to note the corresponding order number on the proof; otherwise, the finance department cannot match the received payment to the order. If the group fee has not been received 2 days before the group ends due to a late payment, the company has the right to require travelers to deposit the corresponding group fee in cash with the tour guide; if it is later verified as a duplicate payment, our company will immediately refund the overpaid amount.
3. Upon confirming receipt of the group member's payment, the company will confirm the member's participation in the tour. Three days before departure, group members will receive a pre-tour notice at the email address provided during registration, containing information such as the tour guide, itinerary, and pick-up/drop-off points for reference. Due to network delays or spam filter blocking, members may not receive the pre-tour notice three days before departure; if this occurs, please proactively contact the relevant staff for assistance.
4. Our company by default arranges hotel room types according to the requirements group members provided at registration. In special cases, such as insufficient rooms at certain hotels during peak tourist season or other uncontrollable reasons, room types may change, and group members must cooperate with our arrangements. If on-site room arrangements do not meet the requirements of the traveler due to incorrect gender or room type information provided at registration, we will coordinate and arrange based on room availability on the day of check-in, and any additional costs incurred will be borne by the group member.
5. If a group member needs to leave the tour midway due to special circumstances, they must notify us proactively at the time of registration/before joining the tour and sign the "Mid-Tour Withdrawal Declaration." For early departure, a deduction of 16 euros applies for each hotel night not stayed; if no hotel night is missed, no tour fee reduction will be given. If a group member requests to leave midway during the tour, they must proactively inform the tour guide and sign the "Mid-Tour Withdrawal Declaration"; fees paid will not be refunded. Group members must provide truthful information regarding their health, identity and other matters during registration and the itinerary, fill in relevant materials accurately, and complete legal procedures. Expenses and losses arising from personal reasons such as physical discomfort during the trip shall be borne by the group member themselves; travelers with special medical histories (for example, those with serious illness, terminal illness or infectious diseases) must disclose this truthfully at registration. Given travelers' health conditions or other reasons, our company reserves the right to decide whether to accept a traveler.
6. Elderly persons over 70 registering for the tour must be accompanied by a family member and must complete a Tour Participation Declaration. If no family member accompanies them and they insist on registering, our company reserves the right to refuse acceptance depending on circumstances. All consequences arising from the traveler's own reasons during the trip shall be borne by the traveler;
7. If a participant is pregnant, this must be truthfully declared at registration. Where the pregnancy exceeds 24 weeks, in principle joining the tour is not recommended; those who insist on registering must be accompanied by a family member and complete a Disclaimer, but our company reserves the right to refuse acceptance depending on circumstances. Where the pregnancy is less than 24 weeks and the person insists on registering, they must be accompanied by a family member and complete a Tour Participation Declaration, but our company reserves the right to refuse acceptance depending on circumstances. All consequences arising from the traveler's personal reasons during the trip shall be borne by the traveler.
8. Minors joining the group must be accompanied by at least one adult who assumes guardianship responsibility for the minor's safety; all consequences arising from the minor's own actions or the accompanying person's negligence during the trip shall be borne by the group member.
9. Group members must confirm that all participation information provided is accurate and correct, with personal identification and contact phone numbers being especially important. Any consequences arising from incorrect information provided by group members (for example: inability to cross the border due to an expired personal ID or a visa type that does not meet the entry tourism regulations of the relevant country; or the group participant providing an incorrect mobile phone number, preventing the tour guide and other relevant staff from contacting them) shall be borne by the participant, including personal return fees, transportation costs, travel expenses, and other losses.
9. Registrants are requested not to book any flights or train/bus tickets related to the registered itinerary before the order is confirmed. If a group member books flights or transportation tickets related to the itinerary on their own initiative and ultimately fails to register successfully, all losses shall be borne by the registrant.
