Important Information for Tour Participants
To protect your interests as fully as possible, please read our “Booking Information and Terms of Liability” carefully. This document sets out important information for our company’s outbound tour participants and forms part of the travel contract, together with our “Overseas Travel Safety Guidelines and Other Important Information.” Our company reserves all rights to interpret the content of this website.
(I) Booking Restrictions
This tour requires a minimum of 2 participants and accepts a maximum of 7 per booking. Each booking is a private group; groups are not combined.
Travelers under 18 must be accompanied by at least one parent or adult traveler throughout the trip.
Travelers aged 70 or over must ensure that they are in good health and fit to travel when booking.
Two adults traveling with one child under 6 years old: the child travels free of charge if not occupying a bed (only chargeable admission tickets and other activities, etc. will be charged); if occupying a bed, the regular fare applies. Only one child under 6 who does not occupy a bed may travel free per group; any additional children are charged the regular fare. All passengers must occupy a seat in the vehicle, regardless of age.
Prices are based on two people sharing one room. If you would like a single room, please select the single-room supplement option. If one person in a two-person room requests a room alone, both people in that room must pay the single-room supplement.
(II) Registration Process and Notes
For all bookings made through this website, please carefully read all terms published on our company website and in the booking confirmation and tour information notice before departure. By submitting your booking, you confirm that you have read and fully agree to the terms published by our company. If any tour member violates the rules stated in these terms, they shall bear all resulting consequences.
1. When booking, please first complete the booking form on the website. Carefully enter and check all the information, including names, gender, ID/passport numbers, contact details, required room type, and boarding and drop-off points. The company accepts no responsibility for any losses arising from incorrect information provided by the applicant. Once your submission is successful, we will send you an order confirmation. As seats on the tour bus are limited, we will give priority for boarding arrangements according to the order in which payments are received. After checking that all information is correct, please make payment within the validity period of the order. If the tour fee is not paid in full by the deadline, you will be deemed to have withdrawn from the tour, and we reserve the right to cancel your order without further notice.
2. Group members must ensure that 100% of the tour fee is paid at least five working days before departure. As coach seats and hotel rooms are limited, and hotel room reservations are often subject to deadlines, members who book within five working days of departure must promptly complete payment. Otherwise, our agency reserves the right to hold or cancel such bookings as appropriate, without first obtaining the booker's consent. The payer is responsible for any transaction fees incurred, regardless of the payment method. After payment, please send proof of payment (the transaction receipt for bank counter transfers or a screenshot of the successful online transfer) to our company by email or fax. Be sure to include the relevant booking number in the proof; otherwise, our finance team will be unable to match the payment to the booking. If, due to late payment, the tour fee has still not reached us two days before the end of the tour, our agency may require the group member to provide the corresponding amount in cash as a deposit to the tour guide. If we subsequently confirm that payment was made twice, our company will promptly refund the overpaid amount;
3. We will confirm your participation in the tour after receiving your payment. Three days before departure, you will receive a tour confirmation notice at the email address provided when booking. It will include information such as the guide, itinerary, and pick-up and drop-off points. Due to network delays or spam filters, you may not receive the notice three days before departure. If this happens, please contact the relevant staff for assistance.
4. By default, we arrange hotel room types according to the requirements provided by tour members when booking. In exceptional circumstances, such as peak travel season when an individual hotel has insufficient rooms, or for other reasons beyond our control, room types may change, and tour members must cooperate with our arrangements. If room assignments on the day of check-in do not meet a participant’s requirements because they provided incorrect gender or room-type information when booking, our agency will coordinate and make arrangements based on room availability that day. Any additional costs incurred will be borne by the tour member.
5. If a tour member needs to leave the tour early due to special circumstances, they must notify us when booking or before joining the tour and sign an “Early Departure Declaration.” For each night of accommodation not used after leaving early, €30 will be deducted; if no hotel night is missed, no reduction will be made to the tour price. If a tour member requests to leave the tour early during the trip, they must inform the guide and sign an “Early Departure Declaration”; fees already paid are non-refundable. Tour members must provide truthful information about their health, identity, and other relevant matters when booking and during the itinerary, complete all relevant forms truthfully, and fulfill all legal formalities. Any expenses or losses arising from personal reasons, such as feeling unwell during the trip, shall be borne by the tour member. Travelers with a significant medical history (for example, those with a serious or terminal illness or a communicable disease) must disclose this truthfully when booking. We reserve the right to accept or decline a booking based on the traveler’s health or other circumstances.
7. If a participant is pregnant, they must disclose this truthfully when booking. As a general rule, participation is not recommended for pregnant travelers who are more than 24 weeks along. Those who insist on joining must be accompanied by a family member and complete a Waiver of Liability; however, our company reserves the right to refuse their participation depending on the circumstances. Pregnant travelers who are less than 24 weeks along and insist on joining must also be accompanied by a family member and complete a Tour Participation Declaration; however, our company reserves the right to refuse their participation depending on the circumstances. The participant is solely responsible for any consequences during the trip arising from their personal circumstances.
9. Group members must confirm that all information provided for tour participation is accurate, especially personal identification details and contact telephone numbers. Group members are solely responsible for any consequences arising from incorrect information they provide (for example, being unable to cross a border because personal identification documents have expired or the visa type does not meet the destination country’s entry requirements, or a tour guide and other relevant staff being unable to contact a participant because the mobile number provided is incorrect). Any resulting costs, including personal return travel, transportation, and travel expenses, shall be borne by the participant.
10. Applicants are advised not to book any flights or other tickets related to the itinerary before their tour participation is confirmed. If an applicant books flights or other tickets related to the itinerary at their own discretion but is ultimately unable to join the tour, they shall bear all resulting losses.
(III) Cancellation and Change Terms
This is a private tour, with one private group per booking and no joining other travelers. Vehicles, hotels, guides, tickets, and other travel services will be booked separately according to the number of people in the booking and the itinerary. Fees arising from cancellations, changes to the departure date, or itinerary adjustments will be calculated in accordance with these terms and the actual necessary, nonrefundable expenses incurred.
1. Tour Withdrawal and Order Cancellation
(1) Cancellation Fee Policy
If travelers request to cancel an order for personal reasons, the cancellation fee will be calculated according to the time remaining before the originally scheduled departure date:
31 or more days before departure: 5% of the total tour price in the booking applies;
15–30 days before departure (including the 30th day): 20% of the total tour price in the booking applies;
8–14 days before departure (including the 14th day): 50% of the total tour price in the booking applies;
Within 7 days before departure (including the 7th day): the cancellation fee is calculated at 100% of the total tour price in the booking.
(2) Calculation of Necessary Expenses
In addition to the cancellation fees stated above, when an order is canceled, necessary expenses already incurred and non-refundable by suppliers must also be calculated. These include, but are not limited to, hotel booking fees, private vehicle and driver service fees, guide fees, admission and transportation tickets, and other reasonable expenses for bookings that cannot be recovered. We will calculate cancellation fees based on the actual order and explain the breakdown to the traveler. The same expense may not be counted twice as both a cancellation fee and a necessary expense. The final amount deducted will be based on the contract and expenses actually incurred, and will not exceed the total tour price in the order.
2. Date Changes and Ticket Changes
(1) Date Change Fee Policy
To change your departure date, please contact us in writing as early as possible. Date-change requests are subject to actual availability of vehicles, hotels, guides, and other suppliers.
31 or more days before departure: in principle, no rescheduling service fee is charged;
15–30 days before departure (including the 30th day): a rescheduling service fee of 10% of the total tour price in the booking applies;
8–14 days before departure (including the 14th day): a rescheduling service fee of 30% of the total tour price in the booking applies;
Within 7 days before departure (including the 7th day): whether rescheduling is possible must be confirmed according to supplier policies and resource availability. If rescheduling is not possible, the booking may be handled under the cancellation terms.
The above rescheduling service fee does not include any actual price differences for hotels, vehicles, guides, admission tickets, or other travel services resulting from a date change, nor any non-refundable charges or rebooking fees. These costs will be calculated separately based on the circumstances and communicated to the traveler before the rescheduling is processed.
(IV) Member Obligations
1. Travelers must not engage in illegal activities during the trip.
2. When exercising their rights, group members must not harm the interests of the state, society or the collective, or the legitimate rights and interests of others.
3. Observe public order and respect social ethics. Tour members should respect the dignity of tourism service staff and treat and assist one another with respect; respect local ethnic customs and traditions; and must not deface or scribble on scenery or buildings, spit on the ground, litter, or engage in other uncivilized behavior.
4. Make an effort to learn what you need to know for your trip and strengthen your awareness of personal safety. Tour members may choose and purchase personal accident travel insurance and other insurance themselves. During the trip, take good care of your luggage and belongings, and keep valuables with you or take other protective measures.
5. When traveling, check the local weather and take care to keep children safe.
6. If group members voluntarily take part in hazardous activities included in the official tour itinerary, such as rock climbing, mountaineering, rafting, scuba diving, or bungee jumping, which may cause personal injury, they shall be personally responsible for any resulting disputes, property loss, or personal injury. Our company bears no responsibility.
(V) Responsibilities
1. The company reserves the right to change accommodation locations, routes, sightseeing attractions, and departure dates as circumstances require.
2. If the minimum number of participants is not met, or if circumstances beyond our company's control arise, such as problems with a ship or aircraft, our company reserves the right to amend or cancel the itinerary. If the itinerary is canceled, we will refund all fees paid by group members or recommend a similar alternative product. Our company accepts no liability for canceling any itinerary.
3. In the event of social unrest, terrorist activity, a major infectious disease outbreak, natural disasters, civil disturbances, riots, murder, war or other events beyond our company's control that may seriously endanger the personal safety of group members, or unforeseen circumstances such as weather, traffic or strikes, our company may cancel or replace any tour activity before or after departure, and may also shorten or extend the trip, provided that group members are notified in advance. Our company shall not be responsible for any resulting additional expenses or losses, and group members may not object or withdraw on these grounds.
4. As public safety conditions vary from country to country, tour members should take care of their personal and traffic safety and safeguard their belongings and luggage. If anything is lost or damaged due to loss, theft, robbery, or other incidents during the trip, notify the tour leader and report it to the police promptly. Our company accepts no legal liability.
5. Tour members must carry a valid passport and identification with them at all times. If a tour member has to leave the tour early because of an issue with their identification or passport, they are responsible for this, and no refund of the remaining tour price will be provided. If this disrupts the itinerary of other tour members, they must pay the corresponding compensation.
6. If group members suffer personal injury or property loss during the itinerary as a result of an accident (such as an accident while taking part in entertainment or games, or illness, death, a fall, or an injury resulting from personal activities, or a group member’s breach of the terms and instructions set out by our company), the group member shall be solely responsible for all related liability and expenses. Our company accepts no responsibility for such injury or property loss. Group members shall compensate our company for any resulting losses.
7. If a group member deliberately fails to follow the rules or disrupts the normal activities or interests of the group, our tour leader has the right to cancel their participation. Fees paid will not be refunded, and our company accepts no responsibility for the group member’s actions after they leave the tour.
8. The times shown in the itinerary are for reference only. Actual arrival times may be delayed due to various circumstances beyond our control, such as weather, traffic congestion, traffic accidents, festivals or sporting events, riots, or strikes. Thank you for your understanding. If group members need to take other transportation for onward travel to another city, we strongly recommend allowing at least 3 hours of free time to avoid inconvenience caused by itinerary delays. Our company accepts no responsibility for losses resulting from group members’ failure to allow sufficient free time when making their own travel arrangements.
Tour Participation Guidelines
Overseas Travel Safety Information and Other Important Notes
To protect your interests as fully as possible, please read our “Overseas Travel Safety Guidelines and Other Important Information” carefully. This document sets out important information for our company’s outbound tour participants and forms part of the travel contract, together with our “Booking Information and Terms of Liability.”
(I) Helpful Information
1. Most European attractions offer student discounts, so students are advised to bring their student cards.
2. Plug standards vary between European countries (for example, plugs used in Italy and Switzerland differ from those used in Germany). Please bring the appropriate plug adapters if needed.
3. For safety reasons, European coach operators require all children to occupy a seat, regardless of age. As most coaches do not have child safety seats available, parents traveling with children under 3 may bring their own. However, each child safety seat occupies one passenger seat, so we cannot guarantee that all personal safety seats will be suitable for use on tour coaches. Please take note.
(II) Safety Information
Clothing
1. European weather is changeable, so be sure to bring rain gear and a warm jacket.
2. Please take good care of your belongings and luggage. Our company accepts no responsibility for loss or theft.
3. Clearly write your name and contact details on your luggage for identification and to facilitate its return if it is found after being lost. If your luggage is lost, notify the relevant organizations (such as the hotel or airline) and the police as soon as possible. If it cannot ultimately be recovered, retain the police report to make a claim with the relevant organization or insurance company (if you have insurance).
Food
1. The tour guide will do their best to help travelers who need assistance arrange Chinese group meals. If there are not enough diners for a group meal, or if one cannot be arranged due to holidays, business hours, or other reasons (such as there being no Chinese restaurant in a small town), the guide will do their best to help arrange fast food, Western food, or meals at a supermarket or the hotel. If meals arranged as required by the itinerary cannot meet the needs of every traveler, we appreciate your understanding. Travelers are advised to bring bottled water and snacks in case of need.
2. Do not drink unsafe water or eat unhygienic, spoiled or foul-smelling food. When visiting areas with poor sanitation, choose thoroughly cooked food and packaged drinks.
3. Do not accept or consume cigarettes, food or drinks offered by strangers.
4. To avoid discomfort from unfamiliar food or water during your trip, bring any medicines you regularly use. Travelers with chronic conditions should bring their medical records in case they are needed. Do not take medicines provided by others without proper advice.
5. We do not provide or arrange alcoholic beverages. Group members who wish to drink alcohol must strictly limit their consumption during the trip. Anyone responsible for drunken misconduct, disturbing public order, infringing on others’ rights, or causing financial loss to a third party shall bear all liability personally.
Stay
1. Hotel facilities:
① European cities are relatively small, and centrally located hotels are extremely limited in number and modest in size. Their facilities may be older and not up to the standard of comparable hotels in China.
② Hotels in Europe do not provide daily essentials such as toothbrushes, toothpaste, slippers, or kettles. Please bring your own.
③ In the event of a trade fair or other major event, our company reserves the right to choose the hotel’s star rating and location.
④ If you book a hotel through our company in a city that is not scheduled for an overnight stay on the itinerary, our company reserves the right to choose the hotel’s star rating.
2. Hotel meals:
① European hotel rooms do not provide hot drinking water.
② Hotel dining differs somewhat from what you may be accustomed to in China. Breakfast is fairly simple (breakfast in Germany is more substantial, while breakfast in Italy is the simplest, consisting only of bread and coffee). Lunch and dinner are also not particularly lavish, and their quantity and quality differ considerably from the standards in China.
3. Hotel room type:
① Triple rooms consist of one double bed and one single bed and are available only to a guardian traveling with one child under 14. Under European law, three adults cannot book a triple room.
② For individual travelers, we arrange room sharing (twin beds). If there is a single male or female traveler, we will try to arrange a room share with another guest of the same sex or provide an extra bed. If couples need to stay in separate rooms, please cooperate. Guests who end up with a single room after the final room allocation must pay the single-room supplement in advance. We will do our best to find you a roommate. If a roommate is found before departure, the full single-room supplement will be refunded.
4. Hotel safety information:
① Please take proper care of your valuables and do not leave them in your hotel room. Avoid carrying large amounts of cash or expensive watches and jewelry. Safeguard your travel documents and belongings, and carry a set of photocopies of your travel documents and credit cards in case they are lost and need to be replaced.
② Please take good care of your belongings and luggage. Our company accepts no liability in the event of loss or theft.
③ Please do not smoke in your hotel room. Any resulting hotel fines must be paid by the person responsible.
④ After checking in, please read the hotel’s safety information. Check whether your room windows can be opened and where the firefighting equipment is located. Familiarize yourself with the hotel’s emergency exits, emergency stairways, and evacuation routes.
⑤ Please check that all the items provided in your hotel room are present and undamaged. If anything is missing or damaged, report it immediately to hotel staff or your guide.
⑥ Do not tell strangers the name of your hotel or your room number. Do not let strangers or people claiming to be hotel maintenance staff enter your room. Lock the door whenever you leave or enter, and before going to sleep check that the door and windows are closed and the security lock is fastened. Keep your belongings close by; do not leave them near the window or on the floor.
⑦ If you need to leave the hotel during your stay, inform your tour guide and collect a hotel key card from the front desk. The card shows the hotel’s address and phone number, which you can use to ask for help if you get lost.
Travel
1. Boarding and drop-off:
① All tour participants must gather on time and depart promptly. Please arrive at the boarding point 15 minutes in advance. Our tour buses will not wait. Anyone who fails to gather and depart at the agreed time and place, and is unable to join the tour en route, will be considered to have forfeited the tour, with no refund.
② The pick-up and drop-off times listed on the website are estimates. The exact pick-up and drop-off locations are subject to confirmation by our company. If traffic or other unforeseen circumstances prevent our coach from arriving at the pick-up location on time, or if the time changes at short notice, we will notify you promptly. Please wait patiently.
③ Coaches come in three types: large coaches, minibuses, and 9-seat small buses. Large coaches generally have dedicated luggage compartments, while minibuses and 9-seat small buses have relatively limited luggage space. As coach luggage compartments are limited in size, we recommend bringing as little luggage as possible.
④ To prevent overcrowding near attractions, coach parking areas in most European cities are some distance from the attractions, and drivers are not allowed to stop wherever they wish. Violations may result in heavy fines. The pick-up and drop-off points may therefore be some distance from the attractions. We appreciate your understanding.
2. Safety tips for traveling by coach:
① Smoking is prohibited in the vehicle.
② Please do not bring prohibited items.
③ Please do not tamper with anything on the vehicle, to avoid unnecessary damage.
④ While the coach is making a temporary stop, please follow your guide’s instructions and do not wander off.
⑤ When getting off the coach to visit attractions, dine, or shop, please make sure the vehicle windows are closed and keep your valuables with you. The travel agency accepts no liability for any loss or theft.
⑥ As the journey is long and the vehicle is heavily loaded, a breakdown may affect the itinerary. If this happens, the travel agency will promptly take remedial measures. Please cooperate with the tour group.
